Getting started

Setting up as a promoter takes a few minutes:

  1. Create a free account on the site and confirm your email via the link we send.
  2. From your account page, tap Host an Event.
  3. Fill in your promoter profile (name, contact, socials). Your promoter account is activated instantly.
  4. Free tickets, free entry, or tickets you sell somewhere else? Crack on — submit your event straight away. There is nothing else to set up.
  5. Planning to sell paid tickets through mulch from October 2026? Get in touch before you submit and we'll set you up — see the box below.

Contact us first to sell tickets through mulch

Email admin@mulch.info in advance and we'll set up your connected payment account. There is no setup fee, and you only need to do this once. Once you're ready, paid ticketing will be available from your promoter portal.

The five ticket types

Every event is one of these five. Only the last one needs us to set you up first.

What is Stripe & how does setup work?

Stripe is the payment provider behind mulch (and much of the internet). When we set you up, you get your own secure Stripe account connected to your bank — ticket money lands there the moment someone buys, and mulch never holds it.

  1. Email us in advance to let us know you want to sell paid tickets through mulch.
  2. We send you a secure Stripe link. You verify your identity and bank details — there is nothing to build yourself.
  3. Once verified, paid ticketing will be available in your portal from October 2026. From then on, everything happens through your promoter portal.

Each event card shows its status badge (Pending, Public, Offline, Scheduled or Private), how many tickets are sold and scanned, and quick actions:

  • Earnings — revenue, your cut, and a full order breakdown.
  • Buyers — who's bought tickets, with check-in status and a downloadable list for the door.
  • Share — copy your event link (plus a separate discounted-ticket link if you've set one up).
  • Edit — change event details, tiers and sale status.

The Settings tab holds your promoter profile: public contact email, phone, Instagram, website and bio — this is what appears on your promoter page and ticket emails. A Scanner button sits at the top of the portal at all times, and payout updates appear at the top when money is on the move.

Creating an event

Tap + Event in your portal. The form has six short sections — here's each one, field by field. When you submit, your event goes to Pending Review: the mulch team checks it over (just to make sure everything looks right) and you get an email when it's approved.

Your promoter profile is attached automatically. For ticketed events the end date & time are required — payouts release after your event ends, and ticket sales cut off then by default.

Pick your venue from the list. Can't see it? Choose "I can't see my venue" and type the name — or pick "No specific venue" for secret locations and TBAs.

Sell tickets through mulch is the paid option, available from October 2026 once we've set up your Stripe account — contact us in advance. Everything else works straight away.

4 — Content

  • Description — what's the night about? This is your listing copy.
  • Genre / tags — e.g. "Noise Rock, Electronic".
  • Primary category — shown as the badge on the homepage and decides where your event appears first.
  • Other categories — optional, up to 2 more, so your event shows up in more places (e.g. a live gig that's also a club night).

5 — Media & pricing

  • Event poster — upload an image (we compress it for you) or paste a URL. Live preview included.
  • Listing badge — optional short label beside your poster, e.g. "£8–£12" or "All ages".
  • Age policy & accessibility — e.g. "18+", "Step-free access".
  • Ticket sales cutoff — sales end when your event ends by default, or set your own cutoff.

For ticketed events you build your tiers — up to 5, and they release sequentially: when one sells out, the next opens automatically. Buyers can only buy from the active tier, max 5 tickets per order.

Paid events can add one code-gated discounted ticket — a label (e.g. "Mates' rate"), a secret code, its own price and quantity. Your portal gives you a shareable link that unlocks it, so you can send cheap tickets to friends, members or artists without it appearing publicly.

6 — After approval

Choose what happens the moment we approve your event:

  • 🟢 Go Live Immediately — public on the homepage as soon as it's approved.
  • 🔗 Private Link Only — unlisted, but anyone with the link can view and buy. Great for pre-sales.
  • ⏸️ Approve, I'll Publish Later — approved and ready, but offline until you set it live yourself.

Managing events

Once approved, everything is managed from your portal — no need to email us for changes.

  • Edit anytime — tap the pencil on any event card to update details, poster, tiers, quantities and prices.
  • Control visibility — set your event public, take it offline, or keep it as a private link.
  • On sale / off sale — pause and resume ticket sales without unpublishing the event.
  • Add capacity — selling fast? Increase tier quantities or open a new tier from the edit page.
  • Track live — sold counts, revenue and check-ins update on your dashboard as they happen.

Changing your event dates

You can move your event later at any time — just edit the dates in your portal. Moving it earlier is fine too, as long as it stays within the same payout week. Once you have paid ticket sales, moving your event into an earlier payout week (or into the past) is blocked to protect the automatic weekly payout run — email admin@mulch.info and we'll make that change for you.

  • Door list by email — about an hour before your event starts, we email you the buyer list for the night (names, ticket counts, tiers) as a backup you can print and take to the door.
  • Download anytime — the same list downloads from your buyer list whenever you want it, ready to open in Excel or Google Sheets.
  • Manual check-in — you can check people in straight from the buyer list too, no scanning needed.

No app, no hardware — the scanner runs in your phone's browser from your portal. Tap the Scanner button (it's always at the top of your dashboard), allow camera access, and point it at each ticket's QR code.

Scans continuously — each valid ticket is checked in automatically. A second scan of the same QR shows already checked in with the time it was first scanned, and refunded tickets flash red.

Group bookings: one order can hold several tickets, so the scanner shows this order (for example “2 of 4 scanned”) alongside the event total — you can see at a glance how many of a group are still to come in.

  • One scanner, all your events — it recognises a QR from any of your events, so you never switch modes.
  • Search by name — the search bar at the top of the scanner finds any buyer, shows their ticket, and lets you check them in manually (forgotten phones, dead batteries).
  • Stay signed in — log in on your phone before the night and the site keeps you signed in, so the door is one tap away.

What your buyers get

mulch gives your audience the full experience they'd expect from any major ticketing site:

  • Instant email tickets — QR codes arrive by email the moment payment confirms.
  • Account dashboard — tickets also live in the buyer's My Tickets page, split into upcoming and past. On the day, their ticket is already open and enlarged, ready to scan.
  • Secure saved cards — logged-in buyers can save their card (held securely by Stripe, never by us) for one-tap future checkouts.
  • Guest checkout — no account needed to buy; tickets still arrive by email.
  • Screenshots work — a screenshot of the QR scans fine at the door.
  • Private orders — order details are visible only to the buyer and to you, the promoter.

Buyers pay your ticket price plus a small booking fee shown clearly before payment — ordinary processing costs come from that fee, so your ticket price stays yours unless a sale is later refunded or reversed. Details in Stripe & fees.

Payouts

This section applies if you're selling paid tickets through mulch.

Ticket money lands in your own Stripe account the moment someone buys — mulch never holds it. We review completed events every Monday at 9am, then send that whole week's payouts on Friday at 9am. In simple terms, your payout arrives the Friday after your event's payout week closes (Monday at 9am). You get an email when it's on its way.

This short gap gives Stripe time to settle final ticket sales — card payments take 5–7 days to settle, so money from last-minute sales sometimes waits for the following Friday run. It also leaves a clean window for refunds or cancellations, and lets mulch check every promoter payout together before it reaches the bank. Tickets bought very close to the event, and a promoter's first Stripe payout, can occasionally take longer to become available. If that happens, the full event balance stays safely queued for the following Friday and we email you with the amount still due.

Need your money sooner? If waiting for the next Friday batch causes you a genuine problem — paying artists on the night, settling a venue invoice, covering costs up front — email admin@mulch.info, tell us which event and why, and we'll look at releasing it earlier. We can only release money Stripe has already settled, so it isn't always possible immediately after an event, but ask and we'll be straight with you about what can be done and when.

Why is my money held until after the event?

It's safer for everyone: if an event has to be cancelled, its ticket money is still available to return to customers. Refunds and reversed payments reduce the event balance before payout, so the figure you see stays honest.

What can hold a payout up?

Three things, none of them common. Tickets bought right before the doors open can still be settling with Stripe. A first payout on a brand new Stripe account takes a little longer while Stripe completes its checks. And if Stripe still needs something from you — an ID document, a bank detail — payouts pause until that's done, which you'll see on your Stripe setup page.

In every case the money is safe and the full balance rolls to the next Friday. If you'd rather not wait, email admin@mulch.info.

Where does the money actually go?

Into the bank account you gave Stripe during setup, in your name or your organisation's. mulch never sees your bank details and never holds your ticket money. To change the account, open your Stripe account from the payment setup page in your portal.

Stripe & fees

Why Stripe?

Stripe is one of the world's biggest payment providers — it powers checkout for millions of businesses. We use it because it's secure, regulated, and lets us give every promoter their own account: your Stripe account is connected to your bank, so ticket money goes straight to you rather than sitting with us.

Once you've completed the secure Stripe setup, you don't need to think about Stripe day to day — just use your promoter portal. Stripe sits quietly underneath, moving the money.

Fees — fully transparent

  • You keep your ticket price. Ordinary payment processing is covered by the buyer's booking fee; refunds and reversed payments are deducted because that sale did not remain paid.
  • Buyers pay a small booking fee on top of your price: £0.40 fee on tickets £5 and under, 8% above £5 — shown clearly before they pay.
  • Mulch covers ordinary processing fees from the booking fee. The only exception is an external chargeback or dispute cost linked to your event and not caused by a mulch error; the terms explain how that documented cost is recovered and credited back if we recover it.
  • Free tickets through mulch carry no fee at all. Ever.
  • There are no listing fees, monthly fees or setup costs for promoters.
ExampleYou price a ticket at £10. The buyer pays £10.80 (£10 plus a £0.80 fee). On a completed, undisputed sale you receive the full £10; the fee covers ordinary card processing and platform costs.

Refunds & event cancellations

If your event has to be cancelled or materially rescheduled, email admin@mulch.info. We will take the event offline, stop further sales, confirm the refundable amount with you and handle the buyer refunds and notifications.

  • Buyers get their ticket price back in full.
  • For a voluntary refund where the event still goes ahead as advertised, the booking fee is normally retained because it covers payment processing and running costs. Cancellation, rescheduling, material change and platform failure are different: we return any booking fee that consumer law requires us to return.
  • The refundable ticket price is recovered from your available event balance before it is returned to the buyer. If that balance has already been paid out or is not enough, we agree how the exact shortfall is returned from later proceeds or by payment before issuing the refund. Mulch does not advance promoter refund money or knowingly put the platform balance into the negative.
  • Ask buyers to contact you first with their reason. Individual refunds (for example, a buyer who cannot make it) are at your and Mulch's discretion unless the buyer has a legal refund right. Email admin@mulch.info once you want us to process one.
  • If a buyer starts a bank dispute, the ticket is suspended. The reversed ticket money and any external dispute fee are your responsibility unless a mulch error caused the problem; if money is recovered later, we credit the recovered amount back.

FAQs

How long does event approval take?
Every event gets a quick review by the mulch team before going live — you'll receive an email the moment it's approved, and your "after approval" choice (live, private link, or offline) kicks in automatically.
Do I need Stripe to list an event?
No. Free Entry, Tickets OTD, free tickets through mulch and external ticketing need no payment setup at all. Stripe is only needed for selling paid tickets through mulch — and we set that up for you.
Can I change my event after it's approved?
Yes — edit details, poster, tiers, prices and quantities from your portal anytime, and pause/resume sales or take the event offline whenever you like.
How do ticket tiers work?
Up to 5 tiers that release sequentially — when Early Bird sells out, First Release opens automatically, and so on. Buyers can only buy from the currently active tier, with a maximum of 5 tickets per order.
What if someone turns up without their ticket?
Use the search bar in the scanner — find them by name and check them in manually. You can also check people in from the buyer list on any event.
When do I get paid?
We review completed events on Monday at 9am and send the batch on Friday at 9am. Your dashboard shows the payout moving from scheduled to on its way to paid, and you get an email when it's sent. Last-minute sales and a first Stripe payout can take longer; if the full balance is not available, it stays queued for the following Friday.
What does mulch cost me?
There is no fee on an ordinary completed sale: buyers pay a small booking fee (£0.40 fee on tickets £5 and under, 8% above £5) that covers normal processing, and your ticket price stays yours. Refunds or reversed payments reduce the event balance because the sale did not remain paid; an external dispute fee can also be recovered where the terms say you are responsible.
Can I sell some tickets on the door too?
Of course — mulch tickets and door sales mix fine. Your listing badge can show door prices (e.g. "£8 adv / £10 door"), and the scanner only cares about mulch QR codes.
